Topic 14 - How to Data Enter Long-term Internship/Coop Placements

Long-term jobs and internships should be broken into shorter 'work episodes' for data entry.

A job that spans both the summer and the school year should be entered as two episodes ... a summer job starting 7/1/2007 (or actual start date) and ending 8/31/2007 (or actual end date) and a school year job starting 9/1/2007 and ending 6/30/2008 (or actual end date).

Hours per week will probably be different in the summer vs. school year, so you should try to enter the hours accurately, so that the Qualifying Wages reports will be accurate.

The Connecting Activities Quarterly Reports will count this student once in the count of summer jobs, once in the count of school year jobs, and once in the total.

An internship that spans more than one fiscal year should be entered again each July 1st.

If an internship starts in the last few days of June, it is fine to enter the actual start date (such as June 23, 2007). The internship will be counted as a summer job in the new fiscal year.

Use the "Duplicate Record" button to create a new, similar record. This button will make a copy of the record ... but will insert a new job number and created date at the bottom of the screen. Then, you can change the dates, hours per week, or other information that should be changed.
