Exporting Data to Microsoft Word

In File Maker Pro, go to the STW file and click on File, Export Records. You'll be prompted for a file name and a type of file. You should export to a *.MER (merge) file. You'll then be prompted to select the fields that you want to export. Click on the Move button to move the fields you want into the box on the right. You can export fields from the current table or from related tables. For this example, you can export the student's first name (First), middle initial (MI), last name (Lastname), year of graduation (GradYear) and Employer Name (EmplName).


In Microsoft Word, click on Tools, then Mail Merge. The Mail Merge Helper dialog box will appear. First, click Create and select a Form Letter. Specify that you want this document created as a New Main Document. Next, select the Data Source, and select Open Data Source, and specify the *.MER file you created with File Maker Pro. Now Word will prompt you to "Edit Main Document" … which gives you the opportunity to lay out your form letter. Type the word Dear and a space then click on the "Insert Merge Field" button and select the first name. Then type a space and then click on "Insert Merge Field" again and click on the last name. Continue typing the body of the letter, inserting merge fields wherever you wish. When you are done with the layout, find the Mail Merge Helper button on the toolbar and click on Merge… to complete the mail merge.
